QR Code Size & Printing Guide: Make Sure Every Code Scans

Updated 31 October 2026 7 min read

Most QR codes that fail are not broken — they are printed too small, too faint, too close to other graphics or on the wrong material. Fixing this after printing 1,000 flyers is expensive. This checklist covers everything to get right before you send a QR code to the printer.

1. Size: use the 10:1 distance rule

A reliable rule of thumb is that a QR code can be scanned from about ten times its width. A 3 cm code scans comfortably from around 30 cm away; a poster code that people will scan from 2 metres should be at least 20 cm wide.

  • Visiting cards and product labels: minimum 2 cm × 2 cm, ideally 2.5 cm.
  • Flyers, menus and table tents: 3–5 cm.
  • Shop counters and UPI stands: 5–8 cm.
  • Posters and banners: 15 cm or more, depending on viewing distance.

Content matters too. A long URL creates a dense pattern with tiny squares that needs to be printed bigger. Short links and dynamic QR codes produce simpler patterns that scan well even when small.

2. Keep the quiet zone

Scanners need a clear margin around the code to find its edges. The QR standard calls for a quiet zone four modules wide — roughly 10–15% of the code width on each side. Do not let borders, text, photos or the edge of the paper touch the pattern.

3. Contrast and colour

  • Dark code on a light background works best. Black on white is the most reliable.
  • Colours are fine if the contrast stays high — dark blue, dark green or maroon on white all scan well.
  • Avoid light codes on dark backgrounds (inverted codes). Many phone cameras handle them, but some scanner apps do not.
  • Avoid yellow, light grey, pastel and gradient codes, and never place a code over a busy photo.

4. Error correction

QR codes include backup data so they still scan when part of the code is dirty, scratched or covered. There are four levels: L recovers about 7% damage, M about 15%, Q about 25% and H about 30%. Higher levels make the pattern denser. Level M — which QRBabu uses — is a good balance for most printed material. Choose a higher level if you plan to put a logo in the centre or the code will be exposed to wear.

5. File format and print quality

  • Download the code at a high resolution. Never take a screenshot of a QR code and enlarge it — the edges blur.
  • Do not stretch the image. A QR code must stay square.
  • For large-format printing, ask your printer to scale the image without smoothing so the edges stay sharp.
  • Choose matte lamination over glossy where possible; glare under shop lights is a common cause of failed scans.

6. Surface and placement

Curved surfaces such as bottles and cups distort the pattern; keep codes small relative to the curve or place them on a flat label. Put codes where people can stand still in good light, at a comfortable height, and not behind reflective glass. Codes on moving vehicles or high billboards are rarely scanned.

7. Test like a customer

  1. Print a single proof at the final size.
  2. Scan it with at least two phones — an older Android and an iPhone if possible — using the default camera app.
  3. Scan from the distance and lighting customers will actually use.
  4. Check that the destination opens quickly on mobile data, not just on your office WiFi.
Add a short call to action next to every code — "Scan to pay", "Scan for menu", "Scan to join WiFi". People scan more when they know what they will get.

Frequently asked questions

What is the smallest size a QR code can be?

For reliable scanning, about 2 cm × 2 cm on a visiting card or label. Smaller codes may work with short content and good printing, but always test first.

Can I add colours or a logo to a QR code?

Yes, as long as the code stays dark on a light background with high contrast. A logo covers part of the pattern, so it needs a higher error correction level and careful testing.

Why does my QR code scan on one phone but not another?

Usually the code is too small, too low-contrast, blurred from enlarging a low-resolution image, or missing its white quiet zone. Fix those and test again.
